DOCUMENT ASSET MANAGEMENT

Flowzone is focused on two big "things": your projects and your documents.

Each Flowzone project comes with its own documents area.

It's great: you can upload as many documents as you need into this area on an ad hoc basis, so that they are shared with everyone in your project team.

But within a project, you can get your documents more structured if you need to.

You can use document meta data to organise, control and share your project documents.

Document meta data

At a simple level, this might be a status indicator to display what is happening with a document. For example, "On Review", "Awaiting Amends", "Approved" or "Archived". Don't forget that as Flowzone is a customisable system, you can control those statuses.

However, you can add more meta data.

Things like expiry dates, who the photographer's name, where the asset originated from, which brand it is associated with. Anything that will help you to organise, control and share your documents.

Organise

If you add meta data you can search for, sort and filter using that information.

Control

With meta data, you can decide whether you want certain groups to see specific assets. For example, you can hide away from general view all assets except for those with a status of approved. Of course, higher level users will still be able to see everything - if that's what you want.

Share

From Flowzone you can email an asset to a person, or simply share a link for them to access the document - without having to set that person up in Flowzone.

Libraries

Everything mentioned above applies equally to our Library areas. These are areas where you might want to store and make available 100s or 1000s (or more!) assets that aren't part of any particular project.

Photos, PDFs, videos, graphics, data sheets, brand assets, technical information, logos… all can be uploaded and organised, and made available for your team or wider company.

Projects to Libraries

With Flowzone you can use your Projects to feed your Libraries. Your Projects can be used to get assets approved, so that they then appear automatically in your Library simply by updating a status and without having to copy or move assets. That means you don't have duplication issues, or any complications from managing assets in different places.
